About the Job:

The Administrative Assistant provides high-level administrative support to senior executives, ensuring smooth day-to-day operations. Key responsibilities include managing schedules, coordinating meetings and events, scheduling travel, handling correspondence, preparing presentations, and assisting with project management. The role requires strong organizational, communication, and multitasking skills, along with the ability to work effectively in a fast-paced retail environment. The ideal candidate will be detail-oriented, proactive, and able to maintain confidentiality while supporting executive leadership.

A day in the life, what you’ll be doing:

  • Executive Support: Provide comprehensive administrative support to two senior executives, managing their calendars, scheduling meetings, and ensuring efficient time management.
  • Communication Coordination: Act as a liaison between executives, other team members, departments, and external partners. Manage phone calls, emails, and correspondence for the executives.
  • Travel Arrangements: Coordinate complex domestic and international travel logistics, including booking flights, accommodations, and ground transportation, and preparing detailed itineraries.
  • Meeting & Event Coordination: Organize and prepare materials for meetings, presentations, and conferences. Attend meetings to take minutes, follow up on action items, and ensure timely execution.
  • Document Preparation & Filing: Draft and proofread communications, reports, and presentations. Maintain confidential and sensitive information in an organized manner.
  • Office Administration: Oversee day-to-day office tasks such as filing, data entry, expense reporting, and maintaining office supplies.
  • Project Management Support: Assist with managing and tracking special projects, deadlines, and follow-ups to ensure timely completion of key initiatives.
  • Ad-Hoc Tasks: Handle various ad-hoc administrative tasks as needed to support the executives and ensure the smooth functioning of their departments

What it takes to Join:

  • 4 year BS/BA in Business or Communication preferred.
  • 2-3 years of experience in an administrative support role, ideally supporting executives or senior management.
  • Successful and complex multiple calendar management required.
  • Experience in Microsoft tools such as Excel, Powerpoint, Outlook and Teams.
  • Event planning experience is desirable.

Hourly Salary Range : $27.25 - $31.20

  • Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus.
  • Ability to work in open environment with fluctuating temperatures and standard lighting.
  • Ability to work on computer and mobile phone for multiple hours; with frequent interruptions.
  • Required to travel in elevator or stairwells to attend meetings and engage with associates on multiple floors throughout building.
  • Hotel, Airplane, and Car Travel may be required.

Position Type/Expected Hours of Work:

This is a full-time position. As a National Retailer, occasional evening and/or weekend work may be required during periods of high volume. This role operates in a professional office environment and routinely uses standard office equipment.
