Summary

This is not your typical career opportunity. We’re currently seeking an organized, detail-oriented, and proactive individual to join our team in a Wedding Coordinator role supporting our event and wedding operations. The Wedding Coordinator will ensure every detail is meticulously handled, from initial concept to final execution.

This position will primarily focus on supporting the Wedding Event Manager and providing critical on-site support for weddings events. This is an in-office, on-property role. Office hours are very dependent based on Wedding events. This position will be 5 days a week - wedding event dependent, including but not limited to weekends and late nights. This person will play a vital role in helping couples plan and execute their dream wedding. The ideal candidate has a friendly and polished demeanor, the ability to learn new computer programs, can multitask and complete projects in a timely manner. This person should demonstrate exceptional customer service and problem-solving skills. This person will be able to think on their feet and has high emotional intelligence when dealing with problems that may arise.

The hourly range for this position is $25.00 - $32.00. This is the pay range for this position that The Seabird Resort reasonably expects to pay. Decisions regarding individual salaries will be based on a number of factors, such as experience and education.

Additional Responsibilities Include:

  • Provide operational assistance for on-property events mainly weddings, however this may also include corporate meetings, resort activations, and special event programs.
  • Support the Wedding Manager and events team with pre-event planning, site inspections, property tours, and menu tastings.
  • Serve as day-of-event on-site support for weddings, ensuring seamless execution in collaboration with the events team.
  • Assist with event setup, collateral preparation, guest coordination, and vendor management as needed.
  • Respond to inbound phone and email event inquiries, providing prompt, professional, and detailed communication.
  • Maintain and update event tracking documents, reports, and internal booking platform.
  • Communicate and complete billing procedures. Following up with Reservations, Culinary or Finance as applicable to ensure billing is completed accurately and timely.
  • Coordinate and manage guest room booking inquires for the Wedding parties, from Special Requests to being a liaison between the Reservations Team and Wedding party.
  • Coordinate with other departments such as Culinary, Reservations, F&B, Banquets and AV to ensure seamless operations.

Qualifications

  • Strong organizational skills, attention to detail and ability to manage multiple priorities in a fast-paced, service-driven environment Experience in event operations, hospitality, or luxury resort environment preferred.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • A true desire to satisfy the needs of others in a fast-paced environment.
  • High School diploma or equivalent required with a minimum one-year hotel experience or one year at catering/conference, events or meeting planning experience.
  • Preferred 2+ years as Wedding Coordinator or Wedding Administrative role.
  • Must be available on Weekends and late nights if needed.
