Job Description

The Event Coordinator plays a critical role in planning and executing the firm’s external events, including conferences, training programs, webinars, and firm-hosted client engagements. This position ensures seamless logistics, clear communication, and a high-quality attendee experience aligned with the firm’s strategic goals, brand, and client service standards. The Event Coordinator collaborates closely with attorneys, marketing, and external vendors to manage timelines, materials, travel, and follow-through—delivering professional, polished events that reinforce the firm’s reputation and support client relationships. The Event Coordinator also contributes to post-event evaluation and continuous improvement efforts, identifying trends, efficiencies, and innovations to elevate the firm’s event portfolio.

Qualifications

  • Outstanding written and verbal communication skills, with the ability to interact professionally with attorneys, clients, staff and guests of the Firm.
  • Ability to take initiative, adapt to change and work independently in high-pressure, deadline-driven scenarios while exercising sound judgment and making intelligent, informed decisions.
  • Strong organizational and project management skills, including the ability to prioritize and execute a diverse range of tasks with a high level of attention to detail.
  • Ability to handle ambiguity, weigh options and find ways to move initiatives forward to meet critical deadlines and produce results.
  • Meticulous data entry, writing and proofing skills and a general facility for learning new software.
  • Solid command of MS Office Suite (Outlook, Word, PowerPoint, Excel, SharePoint).

Job Responsibilities:

Conferences & Events

  • Collaborate with the Business Development Manager to identify strategic conference and event opportunities and determine appropriate levels of participation.
  • Partner with key stakeholders to develop and pitch presentation topics aligned with audience interests and firm expertise.
  • Manage the full cycle of presentation coordination for selected conferences, including proposal submission, session logistics, and post-event follow-up.
  • Identify and coordinate business development opportunities tied to events (e.g., attorney-client dinners, on-site meetings, and hosted receptions).
  • Represent the firm professionally at external conferences and events, supporting brand visibility and relationship building.
  • Coordinate scheduling, logistics, and execution of firm-hosted seminars and webinars across California, including venue booking, registration setup, and presenter support.
  • Ensure timely compilation, packaging, and shipment of seminar and conference materials.
  • Own end-to-end event logistics: liaise with venues, order catering, prepare presenter materials, and ensure smooth on-site delivery.
  • Respond promptly to client and partner inquiries related to events.
  • Maintain and update the firm’s conference proposal database, tracking submissions and accepted sessions.
  • Partner with the Business Development and Marketing teams to assess event effectiveness by tracking attendance, engagement, and business development outcomes.

Venue & Catering Management

  • Maintain and regularly update the firm’s venue and catering database, ensuring reliable options for a range of event types and locations.
  • Serve as primary liaison between the Marketing Department and external venues.
  • Source, evaluate, and manage catering options to ensure high-quality, cost-effective service for all events.

Corporate Sponsorships & Memberships

  • Support identification and evaluation of corporate sponsorship and membership opportunities under the direction of the Business Development Manager.
  • Track and report on firm memberships to ensure full use of associated marketing and branding benefits.

Additional Responsibilities

  • Manage assigned workshop material updates, ensuring accuracy, timeliness, and adherence to the firm’s style guidelines.
  • Support special projects such as market research, industry event tracking, and practice group reporting as assigned.
  • Perform other related duties as needed in support of marketing and business development objectives.

Preferred Skills/Abilities

  • Two to three years’ experience in a similar role in a law firm/professional services environment.
  • Experience with CRM/database software (e.g. NEXL, Salesforce etc.)
  • Experience with video-editing.
  • Interest and aptitude in harnessing emerging technologies.
  • Bachelor’s degree in a related field - marketing, communications, English or other discipline that requires analytical and advanced writing and research skills. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job.
