Job DescriptionThis is an exciting opportunity to provide administrative support to the executive in charge of the Aetna Special Needs Plans (SNPs) segment. The ideal candidate for this position will have exemplary project and time management skills as well as the ability to organize and manage calendars and keep scheduling operations running smoothly and efficiently. This individual will also be instrumental in coordinating regularly scheduled internal communication initiatives on behalf of the segment, coordinating complex meetings and travel arrangements among multiple executives, and managing a core set of other important projects.This role requires executive administrative experience as well as a well-developed approach to organizing projects and communications. Duties are complex in nature and involve access to confidential information as well as normal administrative activities such as scheduling calendar appointments, arranging meetings both inside and outside the company, travel arrangements, team meetings, PowerPoint presentations, and coordinating activities across several departments. This position exercises considerable discretion and independent judgment and requires the ability to analyze complex information requests.Responsibilities- Maintain an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities- Proactively manage/coordinate daily schedule/calendar, contacts, travel arrangements, meetings (internal and external), conferences, and seminars. - Calendar gatekeeping, prioritizing and providing recommendations on scheduling conflicts; arrange and schedule numerous meetings; maintain and update calendar; determine importance of meeting requests and adjust schedule; demonstrate flexibility, serve as first-line of defense with the high volume of communications of phone and email. - Arrange travel and all accommodations including comprehensive and detailed itineraries. - Preparing and maintaining expense reports, receiving, and processing invoices / purchase orders- Provide a bridge for smooth communication; demonstrate leadership to maintain credibility, trust and support with senior management staff. - Provide organization support including presentation development (PowerPoint), department organization (SharePoint), limited project management and other tasks as needed.- Responsible for complex meeting/event preparation to ensure seamless execution of special events, including Town Hall meetings, recognition events, and special communications including set-up (AV, telepresence events, preparing presentations/agendas/materials, etc.), documenting notes, and coordinating follow-up items to completion.- Coordinate on-boarding and off-boarding of new leaders, including hardware installation request/repair, space planning, etc. - Manage general office and administrative tasks, including ordering of miscellaneous supplies, renewing memberships and subscriptions, managing distribution lists, photocopying, faxing, deliveries, etc. - Manage department files, including compilation, distribution, and storage including supporting the team's SharePoint and Teams worksites- Create and edit presentations, agendas, spreadsheets, communications, databases, and reports. - Prioritize and track deliverables, manage project timelines, deadlines and requests. - Participate in meetings, take notes and disseminate information to relevant stakeholders, including follow-up on outstanding agenda items. Responsible for drafting and editing correspondence. - Manage special projects as designated and assist other department members as necessary and acts as back up for other assistants on team. - Perform other duties as assigned and assist with special projects as needed.Pay RangeThe typical pay range for this role is:Minimum: 19.50Maximum: 38.99Please keep in mind that this range represents the pay range for all positions in the job grade within which this position falls.
